Privacy Policy
Last updated: October 23, 2026
This Privacy Policy explains how Oxxera ("Oxxera", "we", "us") collects, uses and protects personal data when you visit oxxera.com or contact us through it. We are based in Doha, Qatar, and we handle personal data in line with Law No. 13 of 2016 on Personal Data Privacy Protection of the State of Qatar and its implementing guidance.
1. Who is responsible for your data
Oxxera is the controller of the personal data described in this policy. You can reach us at info@oxxera.com or by post at Doha, Qatar.
If we process personal data on behalf of a client while delivering an AI system (for example, names on invoices that our software reads), we do that as a processor under a separate written agreement with that client, and that agreement governs, not this policy.
2. What we collect
Information you give us
- Your name and phone or WhatsApp number (required), and your email address, company name, the role you choose and any comments (all optional) on our contact form.
- The message you write to us, and anything you choose to include in it.
- Any details you share when you email us directly or take part in a call.
Information collected automatically
- Standard server logs kept by our hosting provider, such as IP address, browser type, pages requested and time of request. These are used to keep the site secure and working.
We do not use advertising cookies or third-party analytics trackers on this site. The typefaces are served from this site itself. Your browser may keep one small note on your device (which version of the site you last chose, so we can send you back to it); it contains no personal data and you can clear it at any time. If you arrive from our booth QR code, your browser also keeps a short tag for that visit only (until you close the tab). It is used only to add a short source tag to the WhatsApp message you choose to send, and the site does not send it anywhere. The form's anti-spam check also keeps a counter of recent submissions by network address in a temporary folder on our hosting. We do not knowingly collect personal data from children.
3. Why we use it
- To reply to your enquiry and to arrange and hold consultations.
- To prepare proposals and quotes you have asked for.
- To keep the website secure, prevent spam and fix faults.
- To meet legal and regulatory obligations.
We rely on your consent when you submit the form, and on our legitimate interest in running a secure business website and responding to enquiries. We do not sell personal data, and we do not use your enquiry for marketing unless you ask us to.
4. Who we share it with
We share personal data only with service providers who help us run the site and our email, and only as far as needed:
- Our web hosting and domain provider, which stores the site and its server logs.
- Our email provider, which delivers form submissions to us and our replies to you.
- WhatsApp (Meta), only if you choose to message us there; WhatsApp then handles that conversation under its own terms.
We may also disclose information if the law requires it or to protect our legal rights.
5. International transfers
Our hosting and email providers may store or process data outside Qatar, so your form details may pass through servers abroad. Where that happens, we take reasonable steps to make sure the data is protected to a standard consistent with Qatari law, for example through contractual safeguards.
6. How long we keep it
We keep enquiry messages for as long as needed to deal with your request and any resulting relationship, and then for a reasonable period afterwards in case of follow-up questions, normally no more than 24 months. Server logs are kept for a short period set by our hosting provider. We delete or anonymise data when it is no longer needed. Form details are kept in a private lead list on our hosting account and are also emailed to us; we review that list by hand and remove old enquiries, and if you want yours removed sooner, email us.
7. Your rights
Under Qatari data protection law you have rights over your personal data, including the right to:
- ask what personal data we hold about you and how we use it;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data, or stop using it, where we no longer have good reason to keep it;
- withdraw consent you have given, and object to certain uses of your data;
- complain to the competent authority in Qatar if you believe your rights have been breached.
To use any of these rights, email info@oxxera.com. We may need to confirm your identity first, and we will respond within a reasonable time.
8. Security
We use reasonable technical and organisational measures to protect personal data, including encrypted connections (HTTPS) on this website and a private, password-protected lead list. No system is completely secure, so we cannot guarantee absolute security, but we will act promptly and notify the people and authorities concerned if a breach affecting your data occurs, as the law requires.
9. Links to other sites
This site may link to other websites. We are not responsible for their content or privacy practices, and we encourage you to read their policies.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. Material changes will be highlighted on this page.
